Your clients can now accept and sign online with payPod

Getting a quote approved should not mean chasing a printed, signed and scanned copy. With online acceptance and signatures, payPod Premium customers can now invite clients to review a quote or document, verify a code and draw their signature directly in their browser.

 

It all starts with the online share link you send from payPod. Your client does not need a payPod account or a separate signing app, and they can sign using a mouse or their finger on a phone or tablet.

 

From “sent” to “accepted”

When creating or editing a quote, select Collect Online Acceptance. For a general document, select Collect Online Signature. Choose how your client will verify their access, save your changes and share the online link.

Your client opens the link, reviews the content and selects Accept & Sign beside Download PDF. After verifying their code, they enter their full name, draw their signature and confirm their agreement to the document's contents and terms.

 

The acceptance is recorded in the document's activity log, giving your team a clear place to check what happened.

 

Choose email verification or a PIN

There are two ways to collect a signature:

  • Email one-time code: nominate an email address, and payPod sends a code there when your client requests it during signing. On quotes, selecting a client prefills their email address, which you can change before saving.
  • Manual four-digit PIN: enter or generate a PIN, then copy it and send it to your client yourself.

Saving a request does not send an email code immediately. Your client requests the code when they are ready to sign.

 

Keep the signed copy with the document

Once your client signs, payPod saves a signed PDF. Download PDF then provides that saved copy, and the accepted quote or document is locked against editing and deletion.

 

Confirmation emails include the signed PDF and are sent to your company email and Administrator-role team members. Your client receives a copy at the signing-code email address, or, for a quote without one, the client's email address. If neither is available, no client confirmation is sent; your company's notifications still proceed.

 

A clear way to handle changes

Need to revise an accepted document? Use Remove Acceptance to make it editable again. This clears the current signing request and returns downloads to an unsigned PDF, while the previous signed copy remains available in the activity history. Set up a new request when the revised version is ready.

 

You can also manually Mark as Accepted on a quote. This records an acceptance handled outside the online signing flow; it does not add a customer signature or send signing confirmations.

 

Start collecting signatures with Premium

Online acceptance and signatures are included with payPod Premium. If your account is later downgraded, existing pending signing requests can still be completed, and you can still remove acceptance. Creating another request requires Premium access.
